1. Who we are

Proposal Ready is operated by Will Media Services LLC, an Oregon limited liability company ("we," "us," or "our"). This Privacy Policy explains what information we collect when you use proposalready.app and our related services (the "Service"), how we use it, and the choices you have. If you do not agree with this policy, please do not use the Service.

2. The short version

We collect the information you give us to create your proposals, plus basic account and technical information. We use it only to provide and improve the Service. We do not sell your information or share it with third parties for their own marketing. To generate your proposals, we send your inputs to our AI provider, which does not use them to train its models. You can ask us to access or delete your information at any time.

3. Information we collect

We collect:

  • Account information: your name, email address, and login credentials. If you sign in with Google, Google shares your name and email address with us so we can create and access your account.
  • Business profile: the business name, owner name, contractor license number, phone number, email, and logo you add to your profile.
  • Writing sample: the past proposal or writing sample you upload so the Service can match your writing style.
  • Proposal information: the job details you enter to generate a proposal. This may include the names, addresses, and project details of your own clients.
  • Technical information: basic, limited information needed to run the Service, such as log data and the session cookie that keeps you signed in.

We do not collect payment or financial account information, because the Service is currently free.

4. How we use your information

We use your information to:

  • Create, store, display, and export your proposals.
  • Set up and secure your account and keep you signed in.
  • Respond to your requests and send you essential account messages, such as sign-in and password emails.
  • Maintain, troubleshoot, and improve the Service.

We do not use your information for advertising, and we do not sell it.

5. How AI generation works

To create a proposal, we send the information you provide (including your writing sample and the job details you enter) to our artificial intelligence provider, Anthropic, through its API. Anthropic processes this information to generate your proposal text and returns it to us. Under Anthropic's commercial terms, information submitted through its API is not used to train its models. We do not use your information to train any AI model of our own.

6. Service providers

We use a small number of trusted service providers to run the Service. They process your information only to perform services for us, and only as needed:

  • Supabase, for database hosting, account authentication, and file storage.
  • Vercel, for website and application hosting.
  • Anthropic, for AI proposal generation, as described above.
  • Google, only if you choose to sign in with Google, to verify your identity.

These providers store data on servers located in the United States.

7. Your clients' information

When you enter your clients' personal information (such as their name and address) to generate a proposal, you are responsible for making sure you have the right to provide that information to us. We process it only to generate and store proposals for you, and we handle it the same careful way we handle your own information.

8. How we share information

We do not sell or rent your information, and we do not share it with third parties for their own marketing. We share information only:

  • With the service providers listed above, to operate the Service.
  • If required by law, or to protect our rights, safety, or property, or those of others.
  • In connection with a business transfer, such as a merger or sale of our business, in which case we will require the recipient to honor this policy.

9. Cookies

We use only the essential cookies needed to keep you signed in and to operate the Service. We do not use advertising or third-party tracking cookies.

10. Data retention and deletion

We keep your information for as long as your account is active or as needed to provide the Service. You can ask us to delete your account and associated information at any time by contacting us, and we will do so unless we are required to keep certain information by law.

11. Your choices and rights

You can review and update your profile information any time you are signed in. Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to ask us not to sell it (we do not sell it). Oregon residents and residents of other states with privacy laws may have additional rights. To exercise any of these rights, contact us at the address below, and we will respond as required by applicable law. We may need to verify your identity first.

12. Security

We use reasonable measures to protect your information, including encryption of data in transit and at rest through our hosting providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your login credentials private.

13. Children

The Service is intended for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children under 18.

14. Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date above, and, if the changes are significant, we will provide a more prominent notice. Your continued use of the Service after an update means you accept the revised policy.
